IPERS Eligibility for Temp Employees, Onboarding Employees with VISAs

HRAs - Please review the important information below.

IPERS Eligibility for Temp Employees
When temporary employees have qualified for IPERS and are immediately rehired, please check to make sure the IPERS retirement plan designation and IPERS occupational code are reentered if the IPERS additional job classification was already in their record.

When a permanent employee transfers to a temporary, seasonal, or administrative intern, please check to make sure IPERS retirement plan designation and IPERS occupational code are added to the additional job classification when performing the job change.

Please refer to the Temp Employees Qualify for IPERS Job Aid - Screenshots for instructions.

Onboarding Employees with VISAs

When onboarding new employees, the Manager or HR Partner must review the box checked on the I-9 form under section 1 and the documentation the employee provided to determine if they are in the United States on a VISA.

If they are a student in the US on a VISA (F-1 is the most common), then the following items need to be completed by the Manager or HR Partner who verifies the Employee’s I-9 Form.:

- Tax election needs to be keyed to exempt them from Social Security's Old-Age, Survivors, and Disability Insurance (OASDI).

- Tax election needs to be keyed to exempt them from Medicare.

- Additional job classification needs to be added to opt out of IPERS. Select - 0 - Exempt - This position is not eligible for a retirement plan (Retirement Plan-United States of America).

- Change My Passports and VISAs business process must be completed to enter their VISA information.

Refer to the updated Complete Form I-9 Job Aid for Managers and HR Partners for guidance.
